When moving to Spain, it is advisable to request two to three quotes. That is enough to compare prices and services meaningfully, without getting lost in a pile of incomparable documents. More than three quotes rarely provides additional insight, but does cost a lot of time and energy during an already busy period.
The quality of the quotes matters more than the quantity. A quote from an accredited international moving company with its own customs declarants and knowledge of the Netherlands-Spain route says more than five quotes from parties that are not well acquainted with the specific requirements of an international move. In this article, we answer the most frequently asked questions about requesting and comparing quotes for a move to Spain.
How many quotes are enough to make a good comparison?
Two to three quotes are sufficient in most cases for a good comparison when moving internationally to Spain. With two quotes, you can quickly see whether there are major price differences. A third quote gives you extra reassurance and helps identify outliers, both high and low.
Requesting more than three quotes sounds thorough, but in practice often leads to confusion. Quotes for international moves are rarely directly comparable, because each company includes different services, uses different transport methods, and sets different conditions. The more quotes, the harder it becomes to compare apples to apples.
Focus your energy instead on the quality of the parties you approach. Choose companies that have demonstrable experience with the Netherlands-Spain route, are members of recognised industry organisations such as FIDI or IAM, and that can make a concrete and detailed offer. A vague quote from an unknown party adds nothing to your comparison, however low the price may seem.
What exactly should a removal quote for Spain include?
A complete removal quote for Spain contains at minimum: a specified statement of volume in cubic metres, the transport method, the expected lead time, the included services, the insurance conditions, and a clear overview of what is not included in the price. If any of these elements is missing, you cannot seriously compare the quote.
For an international move to Spain, a number of points are especially important:
- Customs documentation: Who draws up the inventory list and who arranges the necessary paperwork for import into Spain? This is specialist work that not every company carries out itself.
- Transport method: Is it exclusive transport (only your belongings) or a groupage shipment where your volume is shared with other customers? This has a direct impact on the delivery time.
- Additional services: Are packing and unpacking, assembly and disassembly of furniture, and any storage priced separately or included?
- Insurance: What is the coverage in the event of damage or loss, and what value is used as the basis?
- Shuttle and parking costs: In many Spanish cities and villages, the removal truck cannot reach the final destination. Is a shuttle service included or an additional cost?
A quote that clearly addresses all these points shows that the company understands the complexity of an international move. A quote that only states a total price without specification invites further questions or a different company.
Why do quotes for the same move vary so widely?
Quotes for a move to Spain can vary widely because companies include different services, use different transport methods, and handle risks such as customs, storage, and damage differently. A price difference of twenty or thirty percent says nothing in itself about which quote offers the best value.
The main causes of price differences are:
- Groupage versus exclusive transport: With groupage, you share the cargo space with others and pay only for your cubic metres. Exclusive transport is faster but more expensive. Not all quotes make this distinction clear.
- Inclusive or exclusive additional services: One company includes packing service as standard, another does not. This makes the cheaper quote appear more attractive, while you ultimately pay more in additional charges.
- Customs and documentation: Companies with their own customs declarants handle this internally. Others outsource it or partly leave it to the customer, which lowers the price but also shifts the responsibility.
- Insurance level: Basic insurance is cheaper than all-risk insurance at replacement value. The quote with the lowest price may have the least coverage.
- Experience with the route: Companies with a permanent presence in Spain, such as their own branch in the Andalusia region, can work more efficiently and recoup that in the price or the service.
How do you compare removal quotes on more than just price?
Compare removal quotes on five criteria: the completeness of the service, the experience with international moves, the quality of the insurance, the transparency regarding customs and documentation, and the accessibility and communication of the company. Price is only relevant once the quotes are comparable in terms of content.
Start by equalising the quotes. Make sure all quotes describe the same services: the same volume, the same additional services, the same insurance basis. Only then can you fairly place the prices side by side.
Then look at the background of the company. Is the company a member of FIDI, IAM, or a comparable international network? Does it have its own branch or fixed partners in Spain? Does it have its own customs declarants? These kinds of characteristics determine how smoothly the move goes in practice and how quickly problems are resolved if something unexpectedly goes wrong.
Also ask for references or experiences from others who have made the same journey. A company that regularly handles moves on the Netherlands-Spain route knows the local situation, the required documents, and the practical challenges on the ground. That is knowledge you do not see in a quote, but which makes the difference in execution.
When is a home visit or video inspection required for a proper quote?
A home visit or video inspection is always advisable for international moves to Spain, and for larger households it is essentially indispensable. Without an inspection, a removal company cannot accurately estimate the volume, which leads to incorrect quotes and surprises on moving day.
An experienced mover can make a rough estimate based on the type of property and a general description, but a binding quote requires an accurate volume assessment. This can be done in two ways:
- Home visit: A removal consultant comes to your home, walks through the property, and draws up a detailed inventory list. This is the most accurate method and also provides an opportunity to discuss practical matters, such as the accessibility of the property or special items that require special packaging.
- Video inspection: Via a video call, you walk through the property together with a consultant. This is faster and more flexible, and when carried out properly, provides a reliable estimate.
If you receive a quote from a company that names a fixed price without any form of inspection, be critical. There is a good chance that the volume has been underestimated or that additional costs will be charged later. A serious company wants to know what it is moving before it gives a price.
How does requesting quotes work when your employer reimburses the move?
If your employer reimburses the move to Spain, you request quotes in essentially the same way as for a private move. The difference lies in the invoicing, the approval procedure, and sometimes in the requirements the employer sets for the removal company. Always check with your employer or HR department first which procedure applies before requesting quotes.
Some employers work with a fixed removal partner or have a preferred supplier list. In that case, you do not need to look for quotes yourself, but are referred to a company with which the employer has already made arrangements. Ask whether you are allowed to request additional quotes yourself if you prefer a different party.
If you are allowed to request quotes yourself, make sure the quote can be issued in the name of the employer or the company, or that there is a clear split between what the employer reimburses and what comes out of your own pocket. Some employers only reimburse the transport and not the additional services such as unpacking service or storage.
Also ask about the relocation services that a removal company offers for business customers. For complex international relocations, a move coordinator can take over contact with the employer and centrally manage all administration, documentation, and planning. This saves you as an employee a great deal of time and uncertainty during an already intensive period.

Veelgestelde vragen
