In a corporate relocation, the employer arranges the move of an employee to a new location, often in collaboration with a specialized relocation provider. The employer determines the budget and the scope of support, while the employee has little to nothing to organize themselves. In this article, we answer the most frequently asked questions about relocating internationally at the employer’s expense.
Who arranges what in a corporate relocation?
In a corporate relocation, the employer is responsible for initiating, financing, and coordinating the move. The employee receives guidance and in most cases only needs to make personal choices, such as the desired moving date and any special requests. The actual execution, from planning to transport, is handled by the relocation provider.
In practice, this works as follows: the HR department or mobility team of the employer engages a moving specialist. That specialist contacts the employee for an inventory of the household goods and the specific situation. A customized plan is then drawn up that takes into account the destination country, family composition, and any special circumstances such as pets or a car that needs to be transported.
As a relocation provider, we handle the entire process, from preparing the required documents to the actual move and completion at the new location. The employee doesn’t have to worry about anything; we take care of all the paperwork and arrangements.
What is the difference between a lump sum and a managed relocation?
With a lump sum, the employee receives a fixed amount from the employer and arranges the move themselves. With a managed relocation, the employer, with or without a relocation provider, coordinates the entire moving process and pays the bills directly. The biggest difference lies in who is in control and who bears the risk.
A lump sum offers the employee flexibility: those who shop wisely will have money left over. But those who underestimate the complexity of an international move may be in for unpleasant surprises. Think of unexpected customs costs, missing documents, or a moving company that is unfamiliar with the rules of the destination country.
A managed relocation removes that uncertainty. The employer knows exactly what is being arranged and the employee doesn’t have to invest energy in logistics and administration. Especially for complex moves, such as a transfer to Spain or a relocation outside Europe, managed relocation is generally the smarter choice. The additional costs are more than offset by the time investment and the risk of errors.
What costs are covered by a relocation allowance?
A relocation allowance typically covers direct moving costs such as transport of household goods, temporary storage, travel expenses, and possibly temporary accommodation. Depending on the employer and policy, additional costs may also be reimbursed, such as registering with the municipality, school fees for children, or a preliminary orientation trip.
The exact composition of a relocation allowance varies by organization and collective labor agreement. Many large employers, such as multinationals and government organizations, maintain a detailed mobility policy that precisely outlines what is and is not reimbursed. It is advisable to read this policy carefully before making arrangements with a moving company.
Costs that are regularly reimbursed:
- International transport of household goods
- Packing and unpacking service
- Temporary storage of furniture and belongings
- Import costs and customs documentation
- Transport of a car or motorcycle
- Pet transport (pet service)
- Temporary accommodation in the destination country
- Travel expenses for the employee and family
Costs that sometimes fall outside the reimbursement include, for example, connecting appliances, minor repairs, or hanging curtains. Our handyman service can easily take over these kinds of tasks, but it is good to check in advance whether the employer co-finances this.
How does the international move proceed step by step?
An international move generally proceeds through five phases: intake and planning, preparation and documentation, packing and loading, transport, and unpacking and completion at the destination. Each phase requires specific expertise, especially when it comes to relocating internationally to a country outside the European Union or to a region with its own customs rules.
- Intake and planning: A move coordinator visits the home for an inventory. Based on this, a quote is prepared and a schedule is made that aligns with the desired moving date.
- Preparation and documentation: All required documents are prepared, including the inventory list in the language of the destination country, transport documents, and any customs paperwork. We handle this completely.
- Packing and loading: Experienced driver-movers professionally pack the household goods. Large pieces of furniture are disassembled where necessary to facilitate transport and prevent damage. Upon arrival, they are expertly reassembled.
- Transport: The moving truck departs for the destination. Via track-and-trace, both the employee and the employer can follow the shipment live. If the final destination is not directly accessible, we deploy a shuttle service with a smaller vehicle.
- Completion at the destination: The household goods are unloaded, furniture is assembled, and additional services such as the handyman service are deployed for the final finishing touches.
For moves within Europe, a similar process applies, but customs formalities are more limited than with intercontinental relocations.
What are the customs and tax rules for a corporate international relocation?
In a corporate international relocation, employees can in many cases make use of a customs exemption for household goods. This means that the household contents may be imported tax-free, provided certain conditions are met. Which conditions apply depends on the destination country and the personal situation of the employee.
Within the European Union, no import duties apply to personal household goods. Outside the EU, such as when relocating to the United Kingdom or a country outside Europe, customs documents and sometimes a formal customs declaration are required. Our own customs declarants fully guide this process, ensuring no delays occur at the border.
A particular point of attention is taking along a car or motorcycle. In the Netherlands, it is possible to avoid high taxes through a BPM exemption when importing a vehicle as part of household goods. Our move coordinators guide the entire import process, including the application for the exemption, the inspection, and the registration of a license plate. More information about this process can be found on our page about importing a car.
It is advisable to start the customs documentation well before the moving date. Missing or incorrect paperwork can lead to delays and additional costs, which is particularly undesirable in a corporate relocation with a tight schedule.
When do you engage a specialized relocation provider?
You engage a specialized relocation provider as soon as the move crosses international borders, requires complex documentation, or when the employee has insufficient time or knowledge to organize it themselves. In practice, this is the case with virtually every corporate international relocation.
Employers who regularly relocate employees internationally, such as government ministries, large technology companies, and international organizations, typically work structurally with a dedicated relocation partner. This offers advantages in terms of consistency, quality assurance, and cost management. Moreover, a dedicated partner knows exactly which documents and procedures are required per country.
For incidental relocations, it is equally advisable to engage a specialist. An international move is not a standard job: it involves customs formalities, foreign regulations, and logistical challenges that an ordinary moving company cannot always handle. We have our own storage facilities, our own fleet of vehicles, and a branch in Malaga for the popular Netherlands-Spain route. For relocations outside Europe, we operate from the Port of Rotterdam. More about our approach can be found on the page worldwide relocation.
As a family business with more than a hundred years of experience and the designation of Royal Warrant Holder, we understand that an international relocation is not only a logistical challenge, but also a significant step for the employee and their family. That is precisely why taking care of everything for our clients is central to what we do, from the first contact to the last screw at the new location.
Veelgestelde vragen
