Moving internationally requires thorough preparation on multiple fronts simultaneously: logistical, administrative, and practical. You need to account for customs procedures, transport choices, insurance, foreign regulations, and realistic planning. For those moving abroad for the first time, this can feel overwhelming. In this article, we answer the most frequently asked questions so you know what to expect.
What are the biggest practical challenges when moving internationally?
The biggest practical challenges when moving internationally are customs formalities, language barriers, coordination over long distances, and the logistics surrounding your new home. Those doing this for the first time often underestimate how much needs to be arranged simultaneously: from applying for the right documents to coordinating delivery dates with a foreign landlord or contractor.
One of the most underestimated challenges is timing. Your departure in the Netherlands must align precisely with your arrival abroad, and that is rarely as straightforward as it sounds. Properties are sometimes not yet available, keys are handed over later than planned, or the moving truck cannot reach the final destination directly. In the latter case, we offer a shuttle service: a smaller vehicle takes over the household goods from the large moving truck and delivers everything to the right location.
Other common challenges include:
- Arranging parking permits in cities such as Barcelona, Valencia, or Lisbon
- Taking pets along, which requires specific documents and veterinary procedures
- Importing a car, for which tax exemptions such as the BPM exemption can be applied for
- Communicating with foreign authorities in another language
As a relocation partner, we handle all the paperwork and administrative tasks, including transport documents, customs papers, and inventory lists in the language of the destination country. This saves not only time, but also a great deal of stress.
What documents do you need for an international move?
For an international move, you will at minimum need a detailed inventory list, a valid passport or identity document, proof of registration in the new country, and customs documents. Which specific documents are required depends on the destination country and whether you are moving within or outside the European Union.
For a move within Europe, customs procedures are less complex because goods may circulate freely within the EU. Nevertheless, even within Europe there are administrative obligations, such as deregistering from your Dutch municipality, registering with the foreign authorities, and arranging a DigiD replacement or local equivalent.
For a move outside Europe, additional documents are required, including:
- A household goods list with a description and value of all items (also known as a packing list or inventory list)
- Proof of residency status in the destination country (visa, residence permit)
- Customs declaration and any exemption documents for import duties
- Specific documents for vehicles, pets, or special goods
Our move coordinators guide you through this entire documentation process. We have our own customs declarants and are familiar with the specific requirements per country, including the Netherlands–Spain route, which is the most important corridor for many of our clients.
How much does an international move cost on average?
The costs of an international move vary considerably and depend on the size of your household goods, the distance, the mode of transport, and the additional services you use. A move to a European country typically costs less than an intercontinental move, where sea freight also plays a role.
It is difficult to quote an exact average price because no two moves are identical. Factors that determine the price include:
- The volume of household goods in cubic metres
- The mode of transport: full load or shared transport
- The distance and destination country
- Additional services such as packing and unpacking service, assembly, storage, or handyman service
- Customs costs and any import duties
- Insurance of household goods during transport
Many of our clients have a moving budget (allowance) from their employer. In that case, we prepare a detailed quote that aligns with the reimbursement scheme, so you know what is and is not covered. We do not compete on the lowest price, but on the quality and completeness of the service.
What is the difference between a full load and shared transport?
With a full load (also known as exclusive transport or FCL), the moving truck or container is reserved entirely for you. With shared transport (also known as groupage or LCL), you share the space with other clients, which is generally cheaper but also comes with a longer delivery time.
The choice between the two options depends on the size of your household goods and how quickly you want your belongings at the destination. A full load is more efficient if you have a large volume of household goods: the truck drives directly from your address to the destination, without stopping at other clients. This considerably shortens the transport time.
With shared transport, your household goods are combined with shipments from other clients travelling in the same direction. This is a logical choice for smaller volumes, but bear in mind that the planning is less flexible and the delivery time can increase. Sometimes the shipment waits until there is sufficient volume to fill a trip.
With our worldwide moving service from the Port of Rotterdam, we offer both options, tailored to your situation. Our move coordinators advise you on the most suitable mode of transport based on volume, destination, and desired delivery time.
How does insurance work for an international move?
For an international move, transport insurance is strongly recommended, as the standard liability of a moving company is generally limited. A good household contents insurance covers damage or loss of your belongings during transport, regardless of the cause.
There are various forms of insurance available. The most comprehensive option is an all-risk policy, which covers all damage unless explicitly excluded. A more limited option covers only damage caused by specifically named causes, such as fire or a traffic accident.
Important points to consider regarding insurance are:
- Check whether your existing household contents insurance covers transport damage during an international move. This is far from always the case.
- Have a detailed inventory list drawn up with the value of your possessions. This is essential in the event of a damage claim.
- Ask whether the insurance applies for the full duration of the transport, including any interim storage.
- Check the exclusions, such as fragile items that have not been professionally packed.
We always advise our clients on the correct insurance coverage and ensure that the inventory list is accurate and complete. This way, you will not face any unpleasant surprises in the event of a damage claim.
When should you start preparing for an international move?
For an international move, it is advisable to start preparing at least three to six months in advance. The further the destination and the larger the household goods, the more time you need for documents, customs procedures, and logistical planning.
Moving ranks second in the top ten most stressful life events, directly after the loss of a loved one. This is entirely due to the number of decisions that need to be made simultaneously. Starting early gives you the space to work step by step, without everything having to be arranged at the last moment.
A general timeline for an international move looks as follows:
- Three to six months before departure: Request a quote, choose a moving company, make an initial inventory, start researching which documents are needed
- Two to three months before departure: Apply for documents (residence permit, registrations, vehicle documents), arrange insurance, initiate notice periods in the Netherlands
- Four to six weeks before departure: Draw up the final inventory list, schedule packing service, apply for parking permits
- One to two weeks before departure: Notify of address changes, arrange utilities, deregister from the municipality

Veelgestelde vragen
