What documents do you need to emigrate to Spain?

Christiaan van der Ent ·

For emigrating to Spain, you need several important documents. You should bring Dutch documents such as your passport, birth certificate, and diplomas, and have them apostilled. In Spain, you need to apply for a NIE number and register via empadronamiento. You also need to sort out your Dutch administration before departure and arrange the right insurance and moving documentation.

Which official documents do you need to bring from the Netherlands to Spain?

You need various Dutch documents that must be apostilled before they are valid in Spain. These include your passport, birth certificate, marriage certificate (if applicable), diplomas, and an extract from the Personal Records Database (BRP). Without these documents, you cannot start any official procedures in Spain.

The apostille is an international stamp that gives your documents legal validity in Spain. You can apply for it at the court in your place of residence or at the Ministry of Foreign Affairs. Allow several weeks for processing, so start well in advance.

In addition, you will often need certified translations of your Dutch documents into Spanish. This applies especially to diplomas, employment contracts, and medical documents. Make sure your translator is officially recognized by the Spanish authorities.

How do you apply for a NIE number and why do you need it?

The NIE number (Número de Identificación de Extranjero) is your identification number as a foreigner in Spain. You need this number for all official matters: opening a bank account, buying a house, working, paying taxes, and even taking out a phone subscription. Without a NIE number, you can practically arrange nothing.

You can apply for the NIE number at the Spanish consulate in the Netherlands or on-site at the immigration office (Oficina de Extranjería) in Spain. For the application, you need your passport, a completed application form (EX-15), and a statement explaining why you need the number.

In Spain itself, the procedure is often faster, but you do need to make an appointment. Bring cash for the fee (approximately 10 euros) and allow several weeks of waiting time before you receive the definitive number.

What is empadronamiento and how do you arrange this as a Dutch emigrant?

Empadronamiento is your registration with the local municipality in Spain and is mandatory for everyone staying longer than three months. This document proves where you live and is needed for healthcare, education, taxes, and many other services. It is free and you can arrange it as soon as you have a residential address.

Go to the town hall (ayuntamiento) of your place of residence with your passport, NIE number, and proof of your residential address. This can be a rental contract, deed of sale, or a declaration from your landlord. Some municipalities also ask for a passport photo.

You will receive on the spot a certificado de empadronamiento that is valid for three months. For long-term procedures, you often need a recent version, so request a new one regularly. The process usually takes no longer than an hour.

Which Dutch administrative matters do you need to handle before you leave?

Before you leave for Spain, you need to handle various Dutch administrative matters. You need to deregister from the Personal Records Database (BRP) at your municipality, cancel your Dutch health insurance, and sort out your tax affairs with the Tax Authority. You also need to inform your employer, bank, and other institutions about your emigration.

Deregistration from the BRP is done at your municipality, preferably a few weeks before departure. You will then receive an extract that you can use in Spain. Note: deregistration means you are no longer entitled to Dutch healthcare and benefits.

Sort out your tax affairs with the Tax Authority. If you emigrate fully, you are no longer liable for tax in the Netherlands, but you do need to file your final tax return. Also inform your bank, insurance companies, pension fund, and other financial institutions of your new foreign address.

How do you arrange your health insurance and other insurance in Spain?

In Spain, you have access to the Seguridad Social (public healthcare) if you work or live there. You register at the office of the Tesorería General de la Seguridad Social with your NIE number, empadronamiento, and employment contract. If you are not yet working, you can take out voluntary insurance or arrange private insurance.

For the transition period, you can use a European Health Insurance Card (EHIC), but this is only intended for temporary stays. Therefore, take out Spanish insurance in good time so that you are covered.

In addition to healthcare, you will likely need other insurance, such as home insurance, car insurance, and liability insurance. These can be taken out with Spanish insurance companies or international insurers active in Spain.

What do you need to know about your move and logistical documents for Spain?

For your move to Spain, you need specific documents for customs formalities and the transport of your belongings. You need to create a detailed inventory list, both in Dutch and in Spanish, for customs. As an EU citizen, you do not pay import duties, but you do need to demonstrate that the items are for personal use and that you have lived in the Netherlands for more than 12 months.

For your car, you need additional documents: your Dutch registration certificate, insurance papers, and a technical inspection. The car must be registered in Spain within six months of your move. If you bring pets, they need an EU pet passport with recent vaccinations.

Veelgestelde vragen
