How to create a moving plan for an international relocation?

Christiaan van der Ent ·

For an international move, it is best to start planning six to twelve months in advance. The farther the destination country and the larger the household, the more time you will need for customs formalities, transport planning, and administrative preparation. In this article, we answer the most frequently asked questions about drawing up a solid moving plan, so you can start your international move well prepared.

How far in advance should you start planning for an international move?

For an international move, it is wise to start at least six months in advance. For moves outside Europe or to countries with complex customs procedures, it is better to allow twelve months of preparation time. The earlier you start, the more control you have over the process and the less stress you experience.

Many people underestimate how much is involved in an international move. In addition to packing your household goods, you need to account for applying for visas and residence permits, arranging customs documentation, cancelling or transferring contracts, and finding accommodation abroad. All of these things take time, and some procedures can take weeks or even months.

For popular routes such as moving within Europe, such as the Netherlands–Spain route, the logistics are relatively straightforward, but you still need to book a moving company well in advance. During the summer months, demand is high and good dates fill up quickly.

What goes on a checklist for an international move?

A good checklist for an international move contains four categories: administration, logistics, housing, and personal matters. Together, these categories form the foundation of a structured preparation and ensure that nothing is overlooked.

Below you will find the most important points per category:

Administration and documents

  • Check passport and identity documents for validity
  • Apply for a visa or residence permit if required
  • Deregister from the Dutch municipality (or register with the RNI)
  • Draw up customs documents and an inventory list
  • Arrange tax matters, including any BPM exemption when taking a car along
  • Take out insurance for transport and the new living situation

Logistics and transport

  • Select a moving company and reserve a date
  • Make an inventory of all goods to be moved
  • Determine what goes with you, what stays in storage, and what will be sold or given away
  • Arrange a parking permit for the moving truck at the new address
  • Schedule a shuttle service if the moving truck cannot reach the destination directly

Housing and personal

  • Find housing abroad and arrange a rental contract or deed of sale
  • Cancel utilities and internet in the Netherlands and apply for them at the new location
  • Prepare pets for the journey and arrange the necessary documents
  • Deregister children from school and enrol them in a new school
  • Transfer or cancel banking matters and subscriptions

How do you divide an international move into phases?

It is best to divide an international move into three phases: the preparation phase, the execution phase, and the arrival phase. This structure helps you maintain an overview and tackle tasks at the right moment, without everything hitting you at once.

Phase 1: Preparation (six to twelve months before departure) Now things get concrete. You pack your belongings, take care of the final administrative matters, finalise contracts, and confirm the moving date. During this phase, we take over all the paperwork and arrangements, from transport documents to customs papers and the inventory list in the language of the destination country.

Phase 3: Arrival (first weeks after the move) After arrival, you focus on setting up the new home, registering with the local municipality, and activating utilities. An optional unpacking and assembly service can take a lot of work off your hands during this phase, so you feel at home in your new surroundings quickly.

What are the biggest pitfalls when planning an international move?

The biggest pitfalls when planning an international move are starting too late, underestimating customs procedures, and ignoring the emotional burden. Anyone who recognises these three risks early on avoids most problems.

Moving ranks second in the top ten most stressful life events, right after the death of a loved one. With an international move, that pressure only increases, because you simultaneously have to deal with a new country, a new language, and a new environment. That makes good planning all the more important.

In concrete terms, we see the following mistakes come up most often:

  • Not reserving enough time for customs formalities. Especially with worldwide moves, import procedures can take weeks. Anyone who arranges this too late risks having their household goods sitting in the port for weeks.
  • Not drawing up a complete inventory list. Customs authorities in many countries require a detailed list of all goods being moved. An incomplete list can lead to delays or additional costs.
  • Forgetting to plan for the car. Importing a vehicle into the Netherlands or another country involves specific rules, including the possibility of a BPM exemption. This is a separate process that needs to be initiated early in the planning.
  • Not accounting for the destination. In cities such as Barcelona or Malaga, a parking permit for the moving truck is almost always required. Forgetting this risks the moving truck not being able to reach the front door.
  • Wanting to arrange everything yourself. An international move has dozens of dependencies. Without professional guidance, the chance of errors, delays, and additional costs is considerably greater.

When should you engage an international moving company in your planning?

It is best to engage an international moving company as soon as the decision to move is final, preferably six to twelve months before the desired moving date. The earlier you involve a moving company, the better it can tailor the planning to your specific situation and destination.

Veelgestelde vragen
